This Privacy Policy explains how Mnava Tours and Safaris collects, uses and protects personal information when you use our website, request a safari quotation or ask us to help plan a trip.
1. Who We Are
Mnava Tours and Safaris is a Tanzania safari and travel business based at White Rose Road, Arusha 23101, Tanzania. In this Policy, “Mnava”, “we”, “us” and “our” refer to Mnava Tours and Safaris.
2. Information We Collect
We collect information that you choose to submit when requesting a safari or asking us to plan a trip. Depending on the form you use, this can include:
- first and last name;
- email address;
- phone or WhatsApp number;
- country or nationality;
- number of adults and children travelling;
- arrival and departure dates, or preferred travel month and year;
- budget range;
- destinations, safari interests and selected Experiences;
- the Tour you are enquiring about and related trip details; and
- free-text trip notes, questions or safari preferences.
Our current website enquiry forms do not ask you to submit passport numbers, payment-card numbers, medical records or a home address.
For security and anti-spam purposes, limited technical information about a connection may be processed temporarily. For example, the enquiry system derives a salted hash from the connection IP address to enforce short-term rate limits. The raw IP address is not stored as part of the customer enquiry record by these forms.
3. How We Collect Information
We collect information directly from you when you submit the Design Your Safari form or a Tour enquiry form. We may also receive information when you contact us through the email, phone or WhatsApp contact methods that you choose to use.
4. How We Use Your Information
We use personal information for specific travel and business purposes, including to:
- respond to safari enquiries and quotation requests;
- understand your dates, group size, interests, budget and travel preferences;
- prepare, discuss and refine suggested itineraries;
- contact you about the travel services you requested;
- manage enquiries and provide customer support;
- protect the website and enquiry forms against abuse or spam; and
- maintain legitimate business records and comply with applicable legal or accounting obligations.
5. Safari Enquiries and Trip Planning
Information submitted through Design Your Safari and Tour enquiry forms is saved as a private enquiry in the WordPress administration area so the Mnava team can review and respond to it. Enquiries are not published as public website content.
Design Your Safari may include your preferred journey type, travel month/year, adults, children, budget, interests, selected Experiences and the trip description you write. Tour enquiries may include the Tour requested, traveller counts, arrival/departure dates, a subject and your message.
6. Email Communications
Our website sends enquiry-related email through WordPress using wp_mail() and FluentSMTP. This includes customer confirmations and internal notifications needed to respond to your request. The underlying email-delivery provider configured through FluentSMTP may process message content and delivery metadata as necessary to transmit those emails.
We do not publish SMTP credentials or other email-system security information in this Policy.
7. Cookies and Analytics
WordPress and other website components may use essential or functional cookies where needed for security, administration and normal site operation. The Mnava custom features reviewed for this Policy do not themselves install Google Analytics, Google Tag Manager, Meta Pixel or another advertising tracker.
If Mnava enables analytics, marketing cookies or similar tracking elsewhere on the website, this Policy and any required cookie notice should be updated to describe that use accurately.
8. Third-Party Service Providers
We may use service providers where reasonably necessary to operate the website and deliver requested travel services. Relevant categories can include website hosting and infrastructure, email delivery, and—when you proceed with a trip—lodges, camps, transport providers, activity providers, airlines, park authorities or other safari suppliers.
We aim to share only information reasonably needed for the relevant purpose. A service provider may process information under its own privacy terms and applicable legal obligations.
9. Payments
The Mnava enquiry forms reviewed for this Policy do not collect payment-card details or process card payments. The website may provide separate Booking Process or How to Pay information. If a payment is made using a bank, payment service or other third-party provider, that provider may process payment information under its own terms and privacy policy.
10. Data Retention
We retain personal information only for as long as reasonably necessary to handle your enquiry, provide requested services, maintain legitimate business records, resolve disputes, and meet applicable legal, tax or accounting obligations. Mnava has not published a single fixed retention period for every category of information; retention should be proportionate to the reason the information is held.
11. Data Security
We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or disclosure. The website uses validation, sanitisation, access controls and anti-spam protections around its enquiry workflows. No internet service can guarantee absolute security.
12. International Data Transfers
Mnava serves travellers from many countries. When you contact us from outside Tanzania, your information is transmitted to Mnava in Tanzania. Some website, email or travel-service providers may also process information in other countries where necessary to provide their services. Where applicable, Mnava should use reasonable safeguards and comply with legal requirements that apply to cross-border processing.
13. Your Privacy Rights
Depending on the law that applies to you and the circumstances, you may be able to ask Mnava to provide access to personal information we hold about you, correct inaccurate information, delete information where legally appropriate, or stop optional marketing communications.
To make a privacy request, email info@mnavatourandsafaris.com. We may need to verify your identity before acting on a request, and some information may need to be retained where the law permits or requires it.
14. Children’s Privacy
Our trip-planning forms may ask for the number of children travelling. That does not mean the website is designed to collect detailed personal information directly from children. Parents or responsible adults should provide travel information on behalf of minors where appropriate.
15. External Links
Our website may link to third-party websites or services, including WhatsApp, travel suppliers or official government resources. We do not control the privacy practices of external services. When you follow an external link or choose to communicate through a third-party service, review that provider’s privacy information.
16. Changes to This Policy
We may update this Privacy Policy when our website, services, legal obligations or data practices change. The page’s “Last updated” date reflects the WordPress modification date for this Policy.
